Heavitree Youth Football Club Constitution

1. NAME

The Club is to be called Heavitree Youth Football Club.

2. OBJECT

The Club is formed to encourage and facilitate the playing of football up to the age of 16.

3. MEMBERSHIP

The Club is open to all players between the ages of 6 and 16 and their parents and guardians, and to any others deemed to have an interest in the development of youth football.

4. OFFICERS

4.1

The Officers of the Club shall be a Chairperson, Vice Chairperson, Treasurer, Secretary and Child Protection Officer.

4.2

The Chairperson, Vice Chairperson, Treasurer, Secretary and Child Protection Officer shall be proposed, seconded and elected by ballot at each Annual General Meeting.

4.3

The Officers are to hold office until the next Annual General Meeting when they must retire.

4.4

The Officers are eligible for re-election from year to year.

4.5

The coaches shall be appointed by the Committee.

4.6

The Committee shall consist of the Chairperson, Vice Chairperson, Treasurer, Secretary and such co-opted members as the Committee deems necessary.

4.7

Five members of the Committee form a quorum.

5. POWERS OF THE COMMITTEE

The Committee, in addition to the powers specifically conferred on it by the rules, shall have control of the finances of the Club, and administrative powers necessary to carry out the object of the Club properly in accordance with these rules.

6. DUTIES OF SECRETARY

6.1

The Secretary must conduct the correspondence of the Club, and have custody of the documents belonging to the Club.

6.2

The Secretary, or such person as he/she nominates must keep full and correct minutes of all proceedings and records all competition of the Club.

7. DUTIES OF TREASURER

7.1

The Treasurer must keep the accounts of the Club and must make up the annual statements of account and balance of the Club on 30th May each year.

7.2

The accounts and balance sheets must, after audit, be made available to all members when notice of the Annual General Meeting is given.

8. AUDITORS

8.1

The Committee may engage a firm of accountants to prepare and audit the annual accounts.

8.2

If no firm is engaged, two members appointed as auditors at the Annual General Meeting must audit and certify the annual statement of accounts before they are issued.

9. ENTRANCE FEE AND SUBSCRIPTION

There shall be a registration fee of £5.00 to cover the cost of insurance. A fee of £2.00 shall be paid at each training session or match.

10. EXPULSION

The Committee of the Club have the right to terminate the membership of any member, adult or child, for the infringement of the rules or for any conduct which in their opinion is, or might be, prejudicial to the welfare of the club.

11. ANNUAL GENERAL MEETING

The Annual General Meeting of the Club must be held at the end of June each year at a time and place determined by the Committee.

12. EXTRAORDINARY GENERAL MEETING

The Committee may call an Extraordinary General Meeting when any question of urgent importance arises and must do so on receiving a requisition signed by twenty members.

13. NOTICES OF MEETINGS

Notices of any General Meetings specifying the business to be transacted and the day, time and place of the meeting shall be sent to every member whether by newsletter or other means.

14. MEETINGS OF THE COMMITTEE

The Committee shall meet five times a year eg September, November, February, April and June.

15. ALTERATION OF THE RULES

No rule of the Club shall be appealed or altered and no rule may be made save by a majority of members present at a General Meeting.

16. DISSOLUTION

On the dissolution of the Club all equipment and property vested in the Club shall be given to such charitable or educational body as the Committee in its absolute discretion sees fit.
